Genetic Alliance UK (“us”, “we”, or “our”) operates the https://www.raredisease.org.uk/rarefilmfestival/ website (the “Service”).

Genetic Alliance UK, a charity as defined by the Charities Act 2011, maintains this website at [email protected] to provide information about our Film Festival event that supports our charitable mission of supporting individuals with rare and undiagnosed conditions.

By using and viewing our website, you understand and agree that you are our guest, and will act accordingly as described here, and as generally accepted on the world wide web. This includes not engaging in any anti-social or inappropriate online behaviour. While we do not have the obligation to police and monitor user comments, we reserve the right to remove postings and/or to block users on any of our communication outlets including social media.


Collaboration   Participants are matched with one of our patient organisations after successfully applying to collaborate before the 25 October

Competition   Is defined as submitting your entry for the chance to be selected for one of our six award categories, which will be showcased during our Film Festival on 10 February 2020.


By using the Services or allowing someone to use the Services on your behalf, you are consenting to our collection, use, disclosure, transfer and storage in accordance with this Term and Conditions of any Personal Data or other information received by us as a result of such use.

Data Controller   Data Controller means a person who (either alone or jointly or in common with other persons) determines the purposes for which and the manner in which any personal data are, or are to be, processed. For the purpose of this Term and Conditions, Genetic Alliance UK is the Data Controller of your data.


Competition closing date is 5th January 2020 at 5pm

Film Entry   The final film submitted by participants onto our chosen platform, Filmfreeway, for the Competition either before or on the day of the Deadline.

Film Festival   This is the event being hosted on 10 February at Regents Street Cinema

Service   The organising and execution of the Film Festival and administering the Competition as part of the Film Festival

Service Providers   Third parties used to help provide our Services to you

Types of Data Collected

Personal Data   Personal Data means data about a living individual who can be identified from those data (or from those and other information either in our possession or likely to come into our possession).

Use of Data   Genetic Alliance UK uses the collected data for various purposes:

  • To provide and maintain our Service
  • To allow you to participate in interactive features of our Service when you choose to do so
  • To provide customer support
  • To monitor the usage of our Service
  • To detect, prevent and address technical issues

Retention of Data   Genetic Alliance UK will retain your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your Personal Data to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies. Genetic Alliance UK will also retain Usage Data for internal analysis purposes.

Transfer Of Data   Genetic Alliance UK will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with the Terms and Conditions and no transfer of your Personal Data will take place to an organisation unless it is for the purpose of taking part in the Rare Film Festival project. Any Personal Data we share after the Rare Film Festival event, will not be used without obtaining your express consent.

Disclosure Of Data   Disclosure for Law Enforcement Under certain circumstances, Genetic Alliance UK may be required to disclose your Personal Data if required to do so by law or in response to valid requests by public authorities (e.g. a court or a government agency).

Legal Requirements   Genetic Alliance UK may disclose your Personal Data in the good faith belief that such action is necessary to:

  • To comply with a legal obligation
  • To protect and defend the rights or property of Genetic Alliance UK
  • To prevent or investigate possible wrongdoing in connection with the Service
  • To protect the personal safety of users of the Service or the public
  • To protect against legal liability

Security Of Data   The security of your data is important to us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Data, we cannot guarantee its absolute security.

Service Providers   We may employ third party companies and individuals to facilitate our Service (“Service Providers”), to provide the Service on our behalf, to perform Service-related services or to assist us in analysing how our Service is used. These third parties have access to your Personal Data only to perform these tasks on our behalf and are obligated not to disclose or use it for any other purpose.

Links To Other Sites   Our Service may contain links to other sites that are not operated by us. If you click on a third party link, you will be directed to that third party’s site. We strongly advise you to review the Privacy Policy of every site you visit. We have no control over and assume no responsibility for the content, privacy policies or practices of any third party sites or services.

Children’s Privacy   We do not knowingly collect Personal Data from children under the age of 13. Children under the age of 13, cannot not submit any Personal Data through the Services unless parental consent has been provided. If you have reason to believe that a child under the age of 13 has provided Personal Data to us through the Services without parental consent, please contact us, and we will endeavor to delete that information from our databases.


You agree to defend, indemnify and hold Genetic Alliance UK, and its affiliates, and each of its and their respective officers, trustees, directors, agents, other partners, and employees, harmless from any and all damage (whether direct, indirect, incidental, consequential or otherwise), loss, liability, cost and expense (including, without limitation, reasonable attorneys’ and accounting fees) resulting from any claim, demand, suit, proceeding (whether before an arbitrator, court, mediator or otherwise), or investigation made by any third party (each a “Claim”) due to or arising out of: your Film Entry; the events listed on the Service; your use of, contribution to or connection with the Service; your violation of this TOS; and/or your violation of any rights of another. Genetic Alliance UK shall provide notice to you of any such Claim, provided that the failure or delay by Genetic Alliance UK in providing such notice shall not limit your obligations hereunder. Genetic Alliance UK reserves the right to assume the exclusive defense and control of any matter which is subject to indemnification under this Section, and in such case, you agree to cooperate with all reasonable requests in assisting Genetic Alliance UK’s defense of such matter.

Other Terms and Conditions:

Filmmaker Consent   By submitting a Film Entry, you are guaranteeing all featured persons in your film entry have given consent to participating in your Film Entry, and have received express parental consent of children below the age of 13. If we are informed, or suspect that this is not the case, your Film Entry will be disqualified from the Competition.

Film Entry made in Collaboration   Partnerships between aspiring filmmakers and patient organisations will require mutual cooperation throughout the filmmaking process, and approval obtained from all parties in the collaboration on matters of substantial material. Approval may not be unreasonably withheld by either party in the partnership. If we are informed that parties have not obtained approval from the other party, your Film Entry will be disqualified from the Competition.   Only one Film Entry can be submitted from parties in a collaboration, on or before the Deadline.

Film Entry Conditions   A Film Entry by a patient organisation or aspiring filmmaker, or a group in Collaboration, can be submitted as either new content developed and produced specifically for the Competition, or more generally, it may be a film produced and developed in the last two years relevant to the topic of rare disease.

Liability   You are liable for damage during development, production and editing of content for your Film Entry. Genetic Alliance UK takes no liability for the actions and subsequent damage that may result from you participating in this Competition.

Competition Deadline   Film Entries made after the Deadline will not be considered for the Competition.

Prizes   Prizes may not be exchanged for cash reimbursement

Reimbursement   Participants in our Competition are not required to spend monetary sums in order to produce a Film Entry, however any funds spent by participants voluntarily for their Film Entry shall not be reimbursed or refunded by Genetic Alliance UK. Any costs incurred by you for taking part in the Competition and attending the Film Festival, is not the liability of Genetic Alliance UK.

Disqualification   We reserve the right to disqualify a Film Entry if it breaches the Terms and Conditions.

  • A Film Entry longer than 15 minutes will not be considered, and shall be disqualified from the Competition, unless it is resubmitted so that it is under 15 minutes long on or before the Deadline.
  • Any Film Entry must be provided with film subtitles, otherwise it will be subject to disqualification under this clause.
  • A Film Entry can be disqualified if Safeguarding Policies (or a document of a similar nature outlining the working relationships between the parties working in Collaboration), that is provided by patient organisations to aspiring filmmakers are breached, and there is reasonable reason to believe the breach has occurred.

Ownership   Content is owned jointly between the producers of the video (this can be anyone as long as it is agreed upon by all parties involved in developing and producing the Film Entry), notwithstanding this, a lifetime license is granted to patient organisations for use in their charity’s work for charitable purposes.

Genetic Alliance UK has a license to use the Film Entry for its internal business to advance its charitable cause. Genetic Alliance UK shall ask for express consent from Film Entry owners, if we wish to share your content with third parties in the course of business.
